The Senior Document Controller manages the project team's document control systems and processes, ensuring accurate, traceable, and compliant handling of drawings, transmittals, and correspondence across all live projects.
ROLE AND RESPONSIBILITIES
- Administer document control platforms (e.g., Aconex, BIM 360/ACC, SharePoint) across assigned projects.
- Manage drawing registers, revision control, transmittals, and distribution matrices.
- Ensure all incoming and outgoing project correspondence and submissions are logged, tracked, and traceable.
- Support project teams in maintaining compliant document control procedures.
- Coordinate document submission and approval workflows with clients, consultants, and authorities.
- Train project staff on document control systems and protocols.
- Maintain project archives and ensure close-out documentation is complete and properly filed.
- Generate regular document status reports for project and senior management.
- Identify and escalate documentation risks (e.g., missing approvals, expired transmittals) to the project leadership.
EXPERIENCE AND QUALIFICATIONS
- Diploma or bachelor's degree in a relevant field (business administration, engineering, or architecture-related studies).
- At least 10 years of document control experience within an AEC (architecture, engineering, construction) environment.
- Proficiency in document control platforms such as Aconex, BIM 360/ACC, or SharePoint.
- Strong working knowledge of document control principles.
- Proficiency in Microsoft Office Suite.
